Why Choose Vellum Row
A records practice with a clear scope and consistent standards
Families choose Vellum Row because our work is descriptive, not advisory — and because we use archival materials suited to Sarawak's climate.

Six reasons families work with us
Scope you can rely on
We work within a descriptive and organisational scope only. There is no drift into advice, assessment or representation — and no grey area about what the service includes.
Archival-grade materials
Acid-free, humidity-resistant materials chosen for Sarawak's climate, not generic office supplies repurposed for storage. This distinction matters over years and decades.
Local presence in Kuching
Our office is in Wisma Bukit Mata. We collect and return documents in person, and we understand the particular shape of Sarawakian estate records and the institutions they pass through.
Defined deliverables, fixed duration
Each engagement has a written list of what will be produced and when the work ends. There are no open-ended arrangements or scope that shifts as the work proceeds.
Family remains in control
Access protocols and custodianship documents are written for the family's benefit, not ours. The work product belongs entirely to the family, in open formats, from the moment of handover.
Plain-language indexing
Index entries use language any family member can navigate without needing us to interpret the system. The archive is built to be used independently of our continued involvement.
Expertise
Local knowledge applied to local records
Sarawak's land and property records involve a combination of document types — land titles under several different schemes, customary tenure records, court-issued papers, and decades of institutional correspondence — that a generalist records service based elsewhere may not encounter regularly. Our team works with Sarawakian estate documents specifically.
- Familiarity with local institutional formats and requirements
- Experience preparing copy sets for Kuching-area offices
- Understanding of which records deteriorate fastest in tropical conditions
"The work we do is clerical and organisational — but it requires knowing the landscape it operates in. Estate records in Sarawak look different from those in Peninsular Malaysia, and they pass through different institutions."
— Siti Lim Hui Mei, Principal Archivist
What a typical consolidation engagement involves
- 01Initial meeting to understand what the family holds and where it is located
- 02Gathering papers from client sites under a documented receipt process
- 03Sorting by category and period; identifying gaps and noting damaged items
- 04Archival scanning and index creation with plain-language descriptions
- 05Preparation of copy sets where needed
- 06Written handover with dual-media digital delivery and acid-free physical archive
Process
A clear process with documented steps throughout
Each engagement follows a defined sequence. A preparation log tracks every item from the moment it arrives in our office to the moment it is returned. This discipline means that when work is handed over, both sides know exactly what was done.
Families who have been through difficult estate processes tell us that not knowing what exists or where it is creates as many problems as the legal or financial questions. A well-organised archive does not resolve those questions, but it does mean they can be approached with the information at hand.
Value
Transparent pricing with fixed scope
Each service has a published price and a defined set of deliverables. There are no additional charges for the preparation log, the copy set, or the dual-media delivery — these are included. If work falls outside the defined scope, we say so before beginning, not after.

How We Differ
Vellum Row compared with typical alternatives
| Aspect | Typical Alternatives | Vellum Row |
|---|---|---|
| Scope clarity | Often bundled with legal or financial advice; scope can shift | Descriptive and organisational only — stated at the outset and kept throughout |
| Storage materials | General office materials; not always suited to tropical conditions | Acid-free, humidity-buffered materials selected for Sarawak's climate |
| Deliverable certainty | Outcomes described loosely; final product unclear until complete | Written deliverable list agreed before work begins |
| Local familiarity | Remote or generalist service without knowledge of local institutions | Based in Kuching; familiar with Sarawakian document types and office requirements |
| Family control | Proprietary systems that require continued provider involvement | Open formats; custodianship protocol written for independent use |
| Document tracking | Informal or undocumented handling of originals | Preparation log tracks every item from receipt to return |
What Sets Us Apart
Features that are specific to our practice
Climate-specific material selection
We do not use the same archival supplies as a practice in a temperate climate. Materials are selected for Sarawak's average humidity and temperature range because the conditions here accelerate deterioration more than most families realise.
Institution-ready copy sets
Where an institution has stated a format preference, we prepare copies in that format. Families submit the copies themselves — we prepare; we do not represent. This practical step is often what separates a usable archive from one that still requires significant further work before anything can be submitted.
Written custodianship protocol
The custodianship programme includes a formal protocol that names who holds access and describes the process for taking the archive in-house. This is not an informal arrangement — it is a document the family can use independently after our involvement ends.
Open-format digital delivery
Digital deliverables use formats that do not require proprietary software: PDF/A for documents, TIFF or JPEG for photographs, and plain-text or CSV for index files. The family can read, copy and use these files without a Vellum Row account or subscription.

Ask us about your family's records situation
A brief description of what you hold — rough volume, document types, current storage — is enough for us to indicate which engagement suits your needs and to give you a realistic picture of the process.
