Client Experiences
What families say after the work is done
Records work does not produce dramatic outcomes. What clients usually describe is a quieter shift — knowing where things are and what they hold, rather than wondering.

Experiences from families we have worked with

We used the Records Consolidation service after my father passed away. Papers were in three different places — some at the family home, some at my uncle's, some in a storage unit nobody had opened in years. Vellum Row gathered everything, produced a clear index, and returned it all in proper folders. The process took about nine weeks in our case. What mattered most was knowing, finally, what documents the family actually held.

My mother had kept detailed records but in her own system that nobody else quite understood. After she passed, we needed the archive to make sense to the rest of the family. The custodianship programme has been the right arrangement — quarterly meetings, updates when new papers arrive, and now everyone knows how to navigate the index. It is a practical thing, not dramatic, but it has removed a source of ongoing uncertainty.

We commissioned the heirloom catalogue for my grandmother's effects — furniture, textiles, some silver pieces, and quite a few items whose history only she knew. The catalogue took about ten days and the photographs are considerably better than we would have managed ourselves. The condition notes were helpful, though for some items we had to follow up separately to understand the descriptions. Generally a clean, careful piece of work.

The copy sets were what made the Records Consolidation engagement worth it for us. We had been going back and forth with the land office for several months and could not always locate the specific documents being requested. Vellum Row prepared copies in the formats that the office accepted, and we submitted them ourselves. That side of the work alone saved a significant amount of time.

I was initially uncertain whether the Custodianship Programme was the right scale of commitment. We discussed what the programme actually involves at the initial meeting, and the quarterly structure made more sense once we understood it. A year in, it has become a regular point for the family to review where things stand. The end-of-year report last December was more thorough than we expected.

We are based in Miri but my family's estate papers are mostly in Kuching. Coordinating remotely was easier than I expected — the Vellum Row team communicated clearly about what they needed from us and when. The preparation log that arrived with the final handover gave us a precise account of which documents had been handled. I had not thought to ask for that level of detail but it was useful to have.
Case Studies
Three engagements in more detail
Challenge
Estate papers spread across four decades and three addresses
A Kuching family managing a parent's estate discovered that the relevant papers had accumulated across three decades of address changes. Land documents from the 1980s were in one location; more recent bank and insurance correspondence in another; and a third box had not been opened since a house move in 2011.
Engagement
Records Consolidation — ten weeks
Vellum Row gathered papers from all three locations under a documented receipt process, sorted them by category and date range, scanned the full set at archival quality, and produced a plain-language index. Copy sets were prepared for two specific document types the land office had requested.
Outcome
One consolidated archive, copy sets submitted
The family now holds a single indexed archive covering all identified documents, in acid-free folders, with a searchable digital copy on two separate media. The copy sets prepared during the engagement were submitted to the land office by the family within two weeks of handover.
"We had not expected the index to be as straightforward to use as it is. Any family member can find what they need without asking anyone."
Challenge
Family effects without any written record of what they were
A family in Kuching with an elderly relative who held significant personal effects — jewellery accumulated over sixty years, a small ceramics collection, antique instruments, and several items whose history only that relative knew — asked for a catalogue before any decisions were made about the household.
Engagement
Heirloom Cataloguing — twelve working days
Each item was photographed from multiple angles, measured, and described in factual terms. Where the family knew provenance information — a receipt, a photograph showing the item in use, a letter — this was linked to the catalogue entry. The work ran to 247 catalogue entries across the full household.
Outcome
247-entry catalogue, print and digital
The family received a printed catalogue and a digital folder set. Six months after completion, a second family requested a copy of the same catalogue in connection with their own records. Because the format was open, sharing was straightforward.
"The provenance links were the part we hadn't thought of. Having the receipt connected to the item in the catalogue is exactly the kind of detail that gets lost otherwise."
Challenge
A well-organised archive that stopped being maintained
A family with an existing archive — organised originally by the family patriarch — found that after his passing, no one had continued to add new documents or keep the index current. Two years of correspondence, bank statements and property-related papers had accumulated without being filed.
Engagement
Custodianship Programme — year one of two
Vellum Row began by updating the existing archive to incorporate the accumulated papers, then moved into ongoing maintenance mode: adding new items as they arrived, refreshing the digital copies, and holding quarterly meetings so three family members in different locations could stay aligned.
Outcome
Current archive, family in agreement, programme renewed
At the end of year one, the archive was current and the three family members had a clearer shared picture of the estate's documentary record than they had in the previous two years. The programme was renewed. A custodianship protocol was written at the end of year one describing how any of the three could take the archive in-house.
"The quarterly meeting structure was the part that surprised us most. It gave us a fixed point to check in, which none of us would have arranged on our own."
